The Heilig Bloedprocessie vzw stores and processes personal data in accordance with the privacy statement below. This privacy statement is subject to (i) the Act of 8 December 1992 on the protection of privacy in relation to the processing of personal data and (ii) the Regulation (EU) 2016/679 of 27 April 2016 on the protection of natural persons with regard to the processing of personal data and on the free movement of such data (‘General Data Protection Regulation’ or ‘AVG’ or ‘GDPR’). For further information regarding the privacy policy, you can always contact the general coordinator of the Procession Committee of the Heilig Bloedprocessie vzw.

Your personal data (surname and first name, sex, place and date of birth, address, telephone number, e-mail address and, if applicable, personal data in function of the required clothing) or company data (name of the company, name of the manager or contact person, address, telephone number, e-mail address, VAT number, company number) will only be used and processed by the Procession Committee of the Heilig Bloedprocessie vzw, with its registered office at Burg 13, 8000 Bruges, exclusively uses and processes in application of the above-mentioned General Data Protection Regulation in order to be able to organise the annual Heilig Bloedprocessie and thereby comply with the legal obligations associated with this annual organisation.

Your personal or company data will never be passed on to third parties (natural persons, legal persons or government bodies) without prior permission and without your explicit agreement, with the exception of the insurance company (in function of the policy taken out) or of a financial institution (in function of payments) or of any security bodies involved (if there is a legal obligation or an organisational measure for this).

The Procession Committee of the npo Holy Blood Procession has taken the necessary organisational and technical measures to store and process your personal or company data in a secure and adequate manner. These data are kept at the secretariat of the association at the address of the registered office mentioned above.

Your personal or company data will be kept for the duration of your involvement as a participant-figurant, as an animal attendant, as a group leader, as a procession commissioner, as an employee with any other engagement, or if you are involved in the organisation of the Holy Blood Procession only once for the duration of this one-off involvement, in order to comply with any legal obligations and/or regulatory provisions associated with the annual organisation of the Holy Blood Procession.

You guarantee that the data that you communicate in the context of this privacy statement or that you communicate in any other way in the context of your involvement in the organisation of the Holy Blood Procession at the request of and in cooperation with the Procession Committee of the Heilig Bloedprocessie asbl are correct, accurate and complete.

You have the right to access your personal or business data at any time and can correct them (or have them corrected) if they are inaccurate or incomplete. Furthermore, you have the right to have your data erased, restrict further processing or ask for your data to be transferred to another party. Deployment of volunteers

The non-profit organisation Heilig Bloedprocessie deploys volunteers as extras and collaborators to make the realisation of the Heilig Bloedprocessie possible. The organisation occasionally engages volunteers to help with the organisation of the Holy Blood Procession, on pre-arranged dates and for pre-arranged tasks.

Reimbursement

The agreement between the volunteer and the organisation is concluded on a voluntary basis. No compensation is payable for services rendered. However, a flat-rate expense allowance is granted for those who help out for more than the equivalent of two full days, starting from the third day.

Responsibility and liability

The volunteer can only be held liable in cases of intentional, serious fault or frequent minor fault after repeated warnings. The volunteer always acts in good faith. The volunteer undertakes to report any accident to the person in charge of the organisation as soon as possible and at the latest within 24 hours.

The volunteer handles the duty of discretion.

Safety and insurance

The Welfare Act of 4 August 1996, concerning the welfare of employees in the performance of their work, also applies to volunteers (performing work under the authority of another person). To guarantee safety in the workplace, the volunteer must therefore at least comply with the regulations contained in this Welfare Act and the implementing decrees contained in the Codex on Welfare at Work. If imposed by the organisation, he/she must comply with the special safety measures.Within the framework of the performance of the volunteer's services, the volunteer is insured by the organisation's Civil Liability policy (policy number 730314962 AXA Belgium) (including physical damage to volunteers).
